MBPA Monthly Meeting Minutes

BEFORE THE MEETING STARTS- If you are interested in volunteering in any
capacity, you MUST fill out a CORI. Even if you filled one out last year. They need to be filled out on an annual basis.
Meeting started at 8:09pm. Adjourned at 8:53pm.
- Welcome / Introductions
a. Congrats to the students completing the first day of Band Camp. The first two days are the hardest! By day three, it gets easier! Great job to the students. You will adjust in a week!
b. Marching Band: Tuesday and Thursdays 6pm-9pm; Saturdays from 10am-4pm (bring lunch); halfway through September- - competitive mode- rehears in the am, then spend most of the day at the location of the competition; Friday Football Games
- (select Fridays)- Calendar was sent out to all families a week
- ago and students can access it in the Google Classroom
- c. Mostly local competitions (Amherst is the furthest away)
- d. Football Games- Mostly Friday, arrive at 5:30-6:00, usually over
- by 9:00 (will text through the Remind App to give accurate times
- to pick up students)

- f. Uniform Sizing has started; got through a lot today. Will
- continue tomorrow. Thank you to the volunteers!
- g. Band Camp ends with a preview of the show on Saturday.
- Come at 6:00pm for a preview and celebrate with a pizza/picnic.
- Families must RSVP by tonight, 8/12/24 for final numbers for
- ordering pizza. All items are accounted for, just need to RSVP.
h. At the end of the competitive season, we attend MetLife Stadium for a final competition. Go to NY as a fun day, then compete on a national stage from bands across the country. USBands is a circuit we compete in. We will head down Friday, compete in Saturday, come home, then have the NESBA finals on Sunday. (Same schedule as last year) This is an additional cost field tip. We need to pay for this trip. Last year, it was $300 per student. Uniform costs are around $60 per student, on average/max per student. Uniform costs will be invoiced out to each family in accordance to what the student needs. MetLife invoice will come through MBPA as well. Need 6 chaperones for MetLife. 6 volunteers preferred, for MetLife and for each Football Game and Shows. First come first served for chaperones for MetLife. Email Justin DeJoy. Need to have a CORI.
i. MBPA reviewed with the audience; Gillette Coordinators, Scholarship Committee, etc. Looking for more families to get involved!
j. Frani welcomed the crowd and introduced herself and the board of directors (Sara Tomasse, Deb Stratton, Betsy Roche)

a. Sign Up Genius- all items have been filled in terms of volunteers
bringing food. PLEASE RSVP TONIGHT. - Email Collections
a. All emails will be collected by MBPA from Mr. DeJoy- Trying to
get everyone’s email addresses. From Mr. DeJoy’s roster, we will
get everyone’s email. If you don’t want MBPA to have your
email, you need to opt-out.
b. In order to opt out – form should be completed & returned to
Mr. DeJoy. (It is helpful to get information from MBPA along
with Mr. DeJoy.) - CORI Forms
a. Anyone helping, in any capacity, needs a CORI completed-
Addressed in the beginning of the meeting.
b. Need one every year (unless you work in the school system here
in Mansfield). Can be submitted at any point during the year,
but it is easier to do it in one big bundle.
- Helping at competitions- Gives you a chance to “go through the
motions with your student!” Help with EVERYTHING, in the excitement
with your student! Asking families to volunteer at least once. A sign
up is sent out before each competition. It is okay if you have never
done it! Students boss volunteers around! 😉 And you get into the
competition for free.

b. Props- We will have props and instruments we need help with
for the competitions.
c. Truck Drivers- Always looking for additional Truck Drivers. We
drive a 29-foot truck. You do not need a specific special
license- if you are comfortable driving a truck, we are always
looking for additional help! (Thank you to our current truck
drivers!)
d. Chaperones - Shoe Swap- We have an excel spreadsheet of shoes that have been
donated and if your child needs a pair of shoes that have been
donated, you can claim them. Document to be sent out in the next
week or so. - Uniforms and hemming- WE NEED HELP! No skill needed! We need
people to help us- It doesn’t have to be perfect, we have about 50
uniforms that need alterations. DO NOT need a sewing machine! If
everyone took 5-6 uniforms, we could get the job done! PLEASE
reach out if you are able to assist. - Financials – Debbie
a. Financial Aid- Financial Aid is available and CONFIDENTIAL.
Please, reach out if you need help. Gillette reviewed with the
audience; credits used towards uniforms, trips, etc. Build up the
credits now!
b. Financial updates will be given at MBPA Parents meetings. Full
treasurers report at every Band Parent Meeting.
c. Invoicing for shoes/shirt/gloves- Everything is digital, can
reach out to Deb if you have individual questions

- Fundraisers – Sara
a. Can Drive- Ongoing! We had one around Fourth of July, but
can always bring them to Mansfield Redemption Center and
say they are for Mansfield Band Parents. If you are bringing
bottles, the bottles have to be in a box or in their original
container.
b. Dining for Dollars- Will be done on a monthly basis. Mr.
Graham is in charge of organizing this for us. A code may need
to be given, or you need to say it is for MBPA.
c. Calendar- Will be held in October for the month of November.
Will be picking winners each day. Looking for raffle
solicitations for the prizes for the calendar. Looking for 30
prizes to give out for the entirety of the month.
d. Climb For Cleopatra- Matches with the theme of the show-to
raise money for the band. - Gillette – Guy / Katherine- Nothing with this program would happen
without Gillette. We do need help. Students get credits, but what
makes it worthwhile is what it brings to the program. We get $100 for
each volunteer we bring to each event. $25 of that goes to the family.
Some events are worth more. We raise money by bringing volunteers.
We are getting into Football games. All games are Sunday at 1:00. We
will train all volunteers; we can coordinate rides and transportation;
currently 12 families are doing 60% of the work. About $22,000-$25,000
comes from Gillette. This is our MAIN fundraiser and we need the
help. Sunday football games are pretty easy. 100% of tips come back
to MBPA.
a. Check in at Gillette is changing. Registration process has
changed- you now need to input demographic information and
submit a picture per order of the NFL. - Next Meeting September 12th @ 6:00pm (going forward will be the 1st
Thursday of the month) - Official locker sign outs will be done later, just claim a locker for the
week in the meantime. - We always leave things cleaner than we arrived, Students- Please
clean up after yourselves and clean up items you see lying around. - Usually start and end rehearsals at the posted times. Arrive so you
are ready to start playing at 6pm. We play our last note at 9pm.
Arrive ten minutes early, and pick up ten minutes after 9.
