Monthly Meeting Minutes – Thursday, September 14, 2023

MBPA Board Introductions
Treasurer Report – Ted Ten Eyck
- Account Balances as of 8/31: Checking $24,129.83; Money Market $10,956.02; Student Credits $12,196.15; Financial Aid $9,141.20; QMS Account $1,366.16 for a total of $57,789.36 which is approximately $7800 lower than this time last year
- New account created for QMS
- Gillette is not offering the stipends they offered last year which accounts for the difference this year
Director Update – Justin DeJoy
- The marching band is down 9 members this year and about the same numbers for the concert band
- The numbers are looking good for the following years with students coming from QMS
- There will be no Dayton trip for winter percussion this year, just the Disney trip during April vacation
- The budget is a little lower this year since there aren’t the same expenses
Budget Review – Ted Ten Eyck
- Budget was distributed and voted on.
- Marching Band Total: $27,356.28
- Color Guard Total: $9,585.00
- Percussion Total: $17,550.00
- Grand Total: $58,004.12
- The budget is lower this year to account for no Big E trip expenses as well as no equipment expenses like we had last year.
- There will also be no Dayton trip this year and just one banquet for all students
- MBPA is contributing costs for MetLife
- MBPA has budgeted for a new parade banner
- Frani Spivak requested a motion to approve the budget with Steve Murawski offering the first motion and Matt Graham the second.
- All present voted in favor and the budget passed unanimously
Gillette Update – Frani Spivak
- Both Gillette coordinators are looking to step down and we’re looking for 2 new co-coordinators
- Co-Coordinators work with Gillette, manage our contract with them and the events we participate in as well as recruit for events
- Also looking for more Stand and Kitchen managers which will alleviate having the coordinators from having to step in all the time
- Stand and Kitchen managers must be serve-safe certified
- Quick review of Gillette events and how they work
Fundraising – Frani Spivak
- We’ll be doing the Calendar fundraiser again this year
- We’re looking for people who can get donations for the calendar, if interested members should send an email to vicepresident@mansfieldbandparents.org
- Calendars will be $10 each, with $5 going directly to the student in the form of credits and $5 going into the general MBPA fund
- Calendars will be sold between 10/16 and 10/27 and there will be raffles each day of November
- Donations will need to be gathered by 10/6, calendars will be put together by 10/9 and raffles will start on 11/1
Uniforms – Frani Spivak
- MBPA is considering adding a $25 uniform charge to help us at the end of the season ensure the uniforms are cleaned and pressed for next season
- Anyone able to assist with alterations (no sewing machines required, basting stitch only) should reach out to the board
- Katherine Chaloupka is possibly interested in helping with alterations for next year
- Reminder to label all pieces of the uniform and that they are machine washable (cold water, inside out, hang to dry)
Additional Business – Frani Spivak
- Grant Coordinator: We’re looking for a grant coordinator; interested people should reach out to the board
- Volunteering SUG: There will be a forthcoming Sign Up Genius for volunteering at games and competitions for help in moving props from the school or truck to the field. If you volunteer at a competition, you’ll get a wristband so you won’t need to pay the entrance fee
- West Side Benevolent: Huge thank you to them for backfilling our financial aid and for being a willing partner with us going forward
- Disney: We will get the word out on when/how credits can be applied to the Disney payments.
Meeting adjourned, next meeting will be 10/5 at 6:00pm; it was noted that meetings are generally the first Thursday of the month at 6pm
